Before You Gather

Guest Policies & Information

We're so glad you're here.

Every Gathered Artisan experience is thoughtfully planned to create meaningful moments around food, creativity, and connection. From intimate workshops and seasonal gatherings to private celebrations and special events, our goal is to make every guest feel welcomed, inspired, and cared for from the moment they arrive.

This page serves as a central resource for important information about our gatherings, including reservations, cancellations, private events, food allergies, BYOB guidelines, photography, and frequently asked questions.

Do I need a reservation?

Yes. Most Gathered Artisan experiences require advance reservations so we can prepare ingredients, materials, seating, and staffing for every guest.

Do you accept walk-ins?

Generally no. Seating is limited and most gatherings are prepared in advance. Availability is offered on a first-come, first-served basis and many experiences may sell out before the event date.

When do I pay?

Unless otherwise stated, full payment is required at the time of booking to reserve your seat.

When should I arrive?

We recommend arriving 10–15 minutes before the scheduled start time. Arriving early allows time to check in, get settled, and begin the experience together.

What happens if I'm late?

Late arrivals may miss portions of the gathering that cannot be repeated once instruction has begun. Guests arriving significantly late may not be able to fully participate in all activities.

Do I need experience?

No. Most Gathered Artisan experiences are designed for guests of all skill levels unless otherwise noted in the event description.

Are supplies included?

Yes. Event descriptions will outline what is included with your gathering. Most experiences include the ingredients, materials, tools, and instruction needed to participate.

Can I attend by myself?

Absolutely. Many guests attend on their own and leave having met new friends. Gathered Artisan experiences are designed to be welcoming for individuals, couples, families, and groups alike.

Can I sit with my friends?

If you're attending with friends or family, we recommend reserving together whenever possible. We'll do our best to accommodate seating requests, although specific seating arrangements cannot always be guaranteed.

Are reservations transferable?

Yes. If you cannot attend, you may transfer your reservation to another guest. The new guest should check in using the original purchaser's name, email address, or order confirmation. We appreciate advance notice when possible, but transferred reservations do not require a new ticket to be issued.

Can gathering details change after I book?

While we strive to provide every gathering as advertised, menus, ingredients, instructors, projects, activities, and experience details may occasionally be adjusted due to seasonal availability, ingredient sourcing, weather, illness, safety considerations, or other circumstances beyond our reasonable control. Any significant changes will be communicated to guests whenever possible.

Questions before booking?

We're always happy to help. If you have questions about a gathering, accessibility, dietary concerns, or anything else, please contact us before reserving your spot.

Can I cancel my reservation?

Yes. We understand that plans can change. Because Gathered Artisan experiences require advance preparation, staffing, ingredient purchases, and limited seating, cancellation policies apply to all reservations.

What if I cancel 7 or more days before my gathering?

Reservations canceled seven (7) or more days before the scheduled gathering are eligible for a full refund or account credit.

What if I cancel less than 7 days before my gathering?

Reservations canceled fewer than seven (7) days before the scheduled gathering are not eligible for a refund. At our discretion, account credit may be offered in certain situations.

Can I transfer my reservation to another guest?

Yes. Reservations are fully transferable. If you cannot attend, you may send another guest in your place. The new guest may check in using the original purchaser's name, email address, or order confirmation.

What happens if I do not show up?

Guests who do not attend their scheduled gathering and do not notify us in advance are considered no-shows. No-shows are not eligible for refunds or credits.

What if a gathering does not reach the minimum guest count?

Some Gathered Artisan experiences require a minimum number of participants. If minimum attendance is not met, we reserve the right to reschedule, modify, or cancel the gathering. Guests will be notified and offered available options, which may include a refund, account credit, or transfer to another gathering.

What if The Gathered Artisan cancels or reschedules a gathering?

Occasionally circumstances arise that require a gathering to be postponed, rescheduled, or canceled. If this occurs, affected guests will be notified as soon as possible and offered available options, which may include a refund, account credit, or transfer to another gathering.

Can gathering details change after I book?

Yes. The Gathered Artisan reserves the right to modify menus, ingredients, instructors, projects, activities, timelines, and other gathering details when necessary due to ingredient availability, weather, illness, safety considerations, facility requirements, or circumstances beyond our reasonable control.

What situations are beyond your control?

Examples may include severe weather, facility issues, instructor illness, supplier shortages, public safety concerns, utility interruptions, or other unforeseen events that make it impractical or unsafe to hold a gathering as originally planned.

What types of private events do you offer?

The Gathered Artisan hosts a variety of private experiences including birthday celebrations, girls' nights, bridal and baby showers, team gatherings, family celebrations, client appreciation events, and other special occasions.

How far in advance should I book?

We recommend booking as early as possible to ensure availability. Popular dates, evenings, weekends, and holiday seasons may fill quickly.

Is a deposit required?

Yes. A non-refundable deposit equal to 50% of the total event cost is required to reserve your date and begin planning your experience.

When is the remaining balance due?

The remaining event balance is due fourteen (14) days before the scheduled gathering unless otherwise agreed in writing.

Is there a minimum guest requirement?

Yes. Private events require a minimum of ten (10) guests. Events with fewer than ten guests may be subject to minimum event pricing or may not qualify as a private gathering.

When is my final guest count due?

Final guest counts must be submitted no later than fourteen (14) days before the scheduled event. This allows us to properly prepare ingredients, materials, staffing, seating, workstations, and any additional accommodations that may be required.

Can I customize the experience?

In many cases, yes. Menu selections, activities, themes, and gathering details may be customized based on the type of event, availability, and planning requirements.

Can I bring decorations?

Decorations may be permitted with prior approval. Certain restrictions may apply to protect guests, equipment, and the facility.

Can gathering details change after booking?

While we strive to provide every experience as planned, menus, ingredients, instructors, activities, and certain event details may occasionally be adjusted due to seasonal availability, ingredient sourcing, staffing changes, illness, safety considerations, or circumstances beyond our reasonable control. Any significant changes will be communicated whenever possible.

What happens if I need to reschedule my private event?

Rescheduling requests will be evaluated based on availability, timing, and the planning already completed for your event. Additional fees or restrictions may apply.

What if The Gathered Artisan must cancel or reschedule my event?

In the rare event that circumstances require us to postpone, reschedule, or cancel a private gathering, we will work closely with the host to provide available alternatives and appropriate accommodations.

Can you accommodate food allergies or dietary restrictions?

We understand that many guests have food allergies, sensitivities, or dietary preferences. While we will do our best to answer questions about ingredients and menu items, our gatherings are planned and prepared in advance, which may limit our ability to make individual substitutions or accommodations.

Is your kitchen allergen-free?

No. Gathered Artisan experiences take place in a shared kitchen environment where common allergens may be present, including dairy, eggs, wheat, gluten, peanuts, tree nuts, soy, and other ingredients.

Can you guarantee that food will be free from specific allergens?

No. Because ingredients, equipment, preparation surfaces, and storage areas may be shared, we cannot guarantee that any gathering, ingredient, or finished product is completely free from allergens or cross-contact.

Should I contact you before booking?

Yes. If you have a food allergy, dietary restriction, or ingredient concern, we encourage you to contact us before reserving your spot. We are happy to provide ingredient information whenever available so you can make an informed decision.

Can gathering menus change?

Yes. Menus, ingredients, recipes, and food selections may occasionally change due to seasonal availability, supplier availability, quality considerations, or other circumstances beyond our control.

Can I participate if I choose not to eat certain ingredients?

In many cases, yes. However, participation requirements vary by gathering, and some experiences may involve preparing, handling, or working with ingredients that not every guest chooses to consume.

Who is responsible for determining whether a gathering is appropriate for my dietary needs?

Ultimately, guests are responsible for determining whether a gathering is appropriate for their individual dietary needs, allergies, sensitivities, or medical requirements. We encourage anyone with concerns to contact us before booking.
